Daily Cash Reconciliation for Game Rooms: Catching Cheating Losses Early

Daily cash reconciliation — comparing the cash collected from each machine against the machine’s electronic records — is the most effective early warning system for cheating losses. A consistent reconciliation process catches cheating within days rather than weeks or months. This article outlines a reconciliation process that any venue can implement.

The process: At the end of each operating day, collect the cash from each machine’s cash box. Count the cash and record the amount. Then check the machine’s electronic meter for the same period. Calculate the gap: Machine meter – Cash collected = Gap. A positive gap means the machine registered more value than was collected — the machine generated credits that were not paid for. This is the signature of point stealing or fake pulse injection.

Setting thresholds: A gap of 0-3% is normal variance. A gap of 3-5% warrants investigation. A gap above 5% indicates active cheating. Track the gap for each machine daily and investigate any machine that exceeds 5% for two consecutive days.

Using a spreadsheet: Create a simple spreadsheet with columns for date, machine ID, cash collected, meter reading, gap amount, and gap percentage. Update it daily. A 10-minute daily process catches cheating weeks earlier than monthly reconciliation.

If your game room is showing signs of implementing daily cash reconciliation, send me a message with your machine model and a photo of your setup. I will do a quick remote check for free.

Frequently Asked Questions

Q: How long does daily reconciliation take for a 20-machine venue?
A: Approximately 20-30 minutes per day. The process is faster if you have a dedicated cash counting area and a standardized process.

Q: What if my machines use a ticket-in/ticket-out system instead of cash?
A: The same principle applies. Compare the value of tickets loaded against the value of tickets dispensed. A discrepancy indicates a problem.

Q: Can reconciliation be automated?
A: Some venues use networked machine monitoring systems that automate the meter reading. The cash counting still needs to be done manually.

Q: Should I involve multiple staff members in the reconciliation process?
A: Yes. Having two people count and verify reduces the risk of errors and deters insider theft.
